This exhibitor manual is designed to help you plan a successful exhibition, to avoid any problems and to enjoy a smooth, trouble-free run-up to the event. Please do not hesitate to contact the organising team if you have any queries.
Please ensure you read this manual fully and don't forget to get your completed forms back to the correct suppliers by the stated deadlines.

On build-up days, contractors & exhibitors are required to wear a wristband in order to gain access to the hall. Please note, access will be refused to all contactors & exhibitors who are not wearing a wristband. Wristbands can be collected from the security desk located at the front entrance of the hall.

LCF Day Exhibitors Only (9 May 2022)
LCF stands will be 2mx2m and will include a poseur table and two stools. Exhibitors are permitted to bring two pull up banners.
MSGBC Shell Scheme Stands (10-11 May 2022)
Unless otherwise already specified, stands 20m2 and below are considered to be a shell scheme stand. If you wish to change your stand to space only, please send an email to [email protected] by Monday 11th April 2022. Unfortunately, we cannot accept requests once the deadline has passed.
Shell scheme stand packages includes the following:
- Shell scheme stand and walls
- Fascia nameboard
- 1 x power socket
- 1 x table and 2 chairs
Fascia Name Board
Your company name will be displayed by using vinyl lettering, which will be attached directly to the fascia. Please confirm the company name you wish to display by 25th April to [email protected]
Electrics
As part of the shell scheme package, you will have 1 x power sockets. Please note, if you require sockets or other electrical requirements, please contact Magniva Events (Caroline Mwangi – [email protected])
Graphics
Please note no graphics are included in a shell scheme stand. If you wish to upgrade your shell scheme package to include graphics, then please contact Magniva events (Caroline Mwangi – [email protected])
Lightweight display materials may be mounted directly onto the stand walls using velcro only (hook and loop side of velcro required). It is not permitted to attach display materials directly by the use of staples, tacks or nails. Any damage caused to the shell scheme panels in this way will be charged back to the exhibitor.

Space Only Stands
Unless otherwise already specified, stands 20m2 and above are considered to be a space only stand.
If you wish to change your stand to shell scheme, please send an email to [email protected] by Monday 11th April 2022*. Unfortunately, we cannot accept requests once the deadline has passed.
Each space only exhibitor receives an allotted stand space. Space only or ‘free builds’ will need to address flooring preferences and lighting as an integral part of their stand. It is important that you also take into consideration views of your stand from every angle, and ensure that the back of your structure, if visible, is clearly finished off. Fixing items to the hall structure or any surrounding shell scheme is strictly prohibited.

Stand Plans
All space only exhibitors must submit stand design information to the Organiser in advance of the show to gain approval to build. We will require the following information that should be emailed across to Emma Winstanley at [email protected]. The deadline to receive this information is 20th April 2022.

Stand design guide for space only stands
Single story stands cannot be built any higher than 3.5m in height.
This includes all Stand fitting, walls, lighting, signage and platforms and all stands must be built within the required time – overnight working is not available.
Platforms
Platforms are permitted but consideration to wheelchair and less-able bodied visitors must be given.
Walling
Space only sites are not provided with any partition walling. On divided sites (where the stand adjoins neighbouring stands or the Venue), exhibitors are responsible for erecting their own walls meeting with the following requirements: –
- Partitions must be a minimum height of 2.5m and the walls must be dressed above 2.4m in a plain, neutral colour to a maximum height of your stand.
- Branding and logos are not permitted on the rear of dividing walls where these overlook neighbouring exhibitors.
- Exhibitors may not use the back of the other stand walls without the consent of the exhibitor concerned.
- Exhibitors adjoining a shell scheme stand may not use the reverse of the neighbouring shell as their dividing wall.
Solid runs of construction or walling along gangway edges are forbidden. All stands, irrespective of height, must have at least 50% of each frontage either open or fitted with (approved) transparent material with no more than a 4m continuous run of solid walling.
Where runs of walling are to exceed 4m a minimum of 1m visual break must be incorporated. The break must span 0.5m to 2m in height measured from the building floor. This ensures a break for both wheelchair users and standing people. Furthermore, a visual break must be 100% transparent.
The only exception to this is on a perimeter stand space, where the back wall can be built to 100%. Please note that no rigging is permitted in this venue.

Catering
The King Fahd is the official and sole supplier for catering at LCF/MSGBC. The King Fahd hold the exclusive right to supply all food and beverages consumed on-site, and charges will be levied directly to you if any external catering is used without consent from organizer including any buyout fees charged onsite or post event. Consideration may be given to an exhibitor to provide their own catering in exceptional circumstances, and only where approval has been sought in advance and corkage fees have been paid.

Cleaning
The cost of basic stand cleaning is included in your contract. All stands will be cleaned overnight prior to each opening day of the event.
Please note: Contractors/exhibitors are responsible for ensuring that build and breakdown waste is disposed of properly. Any waste left by contractors or exhibitors will be charged to the exhibitor after the event.

- Transportation of goods from within the UK and from overseas

As an exhibitor, you have a legal and moral duty of care for the safety of anyone who may be affected by your activities. You are ultimately responsible for all aspects of safety on your booth during the build-up, open period and breakdown of the show. VISAS
For the UK and Europe you do not need a visa to travel to Senegal, but your passport must be valid for at least 3 months from the date of entry into the country.
COVID
To enter Senegal individuals must provide either a negative PCR COVID-19 test dated no more than 72 hours earlier, issued in the country where you started your trip and authorized by that country, or a recognised health organisation or a vaccination certificate with QR code issued by the health authorities of the country of vaccination at least 14 days before the date of travel. For those who cannot prove vaccine status, including children over 2 years, a negative PCR test remains necessary for entry into Senegal.
You will be asked to fill a ‘Public Health Passenger Locator’ and a Public Health form at check-in or on board the flight. Most airlines request passengers to fill in a locator form at check-in.
Vaccinations
All travelers should be up to date with routine vaccination courses and boosters as recommended.
There is a risk of yellow fever transmission in Senegal. A certificate of yellow fever vaccination is only required to travelers arriving from countries with risk of yellow fever transition and for travels having transited through an airport of a country with risk of yellow fever transmission, therefore you are not required to have proof of yellow fever vaccination to gain entry into Senegal. However, as there is risk of yellow fever transmission it is strongly recommended that you have the vaccination if you have not already done so. You should be vaccinated at least 10 days before you travel to allow enough time for the vaccine to work.

For those of you who are already vaccinated: According to WHO the yellow fever certificate will be valid for the duration of the life of the person vaccinated. A valid certificate presented by arriving travelers cannot be rejected on the ground that more than 10 years have passed since the date the vaccination became effective. Boosters or revaccination cannot be required.

Malaria
There is a high risk of malaria in Senegal. It is advised that you take anti-malarial medication when travelling. This can be prescribed by your GP, pharmacist or a travel clinic.
How far in advance you take the medication depends on which one you choose. The various medications also have different lengths of time that they must be continued after you have left the malarial zone. It is advised to consult your GP on medications as they have differing side effects. Malarone, whilst more expensive, is known to have the least side effects.

Covid security measures will be in place following the local guidelines, additionally we will ensure that there is:
- Regular cleaning of communal facilities.
- Hand sanitizer made widely available
- Safe room and hall layouts to avoid overcrowding.
- We encourage you to also think carefully about Covid-19 on and around your stand.
